Context

The company faced challenges from manual, fragmented processes, particularly in HR, timekeeping, and procurement.

Alpha ECC is a leading corporation in the Engineering, Procurement, and Construction (EPC) sector for oil and gas projects, managing a large-scale workforce across complex locations like construction sites and offshore rigs.

A lack of real-time operational data and previous failures with standalone systems delayed decision-making and increased operating costs. They required a comprehensive digital transformation solution to unify data and automate complex business processes. The objective was to eliminate physical time clocks, provide immediate reports to leadership, and improve the employee experience.

Solution

To address this challenge, a unified ERP system was designed and implemented, focusing on the comprehensive digitization of business operations. The solution included core modules for Human Resource Management (HRM), Timekeeping, Payroll, Asset Management, and Procurement.

The centerpiece of the solution is a custom-built mobile application that replaced the outdated physical time clock system on-site. This app enables employees to perform flexible timekeeping via QR codes or fingerprints, even in complex environments.

 

Beyond just recording time, the mobile app integrates critical approval workflows. Managers can approve timesheets and overtime (OT) requests directly on their mobile devices, ensuring data is collected accurately, conveniently, and in real-time. This streamlined previously cumbersome administrative procedures, making them more efficient and professional.

 

The new system integrated previously fragmented data sources into a centralized database. By leveraging Artificial Intelligence (AI), the solution can automatically analyze attendance data and personnel fluctuations. This provides leadership with access to comprehensive, real-time operational reports, supporting faster and more accurate decision-making.

 

Recognizing the unique nature of the EPC industry, the solution was deeply customized to handle specific scenarios. The implementation team worked closely to ensure the system remained stable even under challenging conditions, such as for workers on offshore rigs with no internet connectivity.

This solution demonstrates the value of a deeply customized system that not only resolves complex operations but also ensures flexibility for end-users at specific locations.

The implementation delivered clear results, with 100% of the timekeeping process handled via the mobile app, saving 10 hours/week in paperwork and increasing work efficiency 1.5-fold. More importantly, the centralized data integration and automated mobile approvals created a transparent operational platform, achieving a 20% reduction in management errors and contributing to a 15% decrease in overall operating costs.
