Standardizing Construction Management – The Coffee House

The Coffee House, a leading cafe chain in Vietnam, held an ambitious goal of opening ten new stores every month. This rapid expansion faced a major challenge: fragmented construction management due to the lack of a centralized system. Progress reports via unofficial tools caused information loss, difficult control, and inconsistent finishing quality across branches.

Solution

Digityze Asia delivered a specialized Construction Project Management System (PMS), combining a software platform with a new operational process for project supervision.

The solution was designed to solve the core challenges of controlling expansion speed and ensuring quality consistency, focusing on key pillars:

 

The system solved the centralization requirement by providing a single source of truth. It replaced fragmented reporting with daily, real-time supervision reports, enhancing control and transparency for management.

 

To ensure uniformity, an intuitive Gantt Chart interface was implemented to help stakeholders visualize progress and construction items over time. This supported overall control and simplified the review of estimates. The system automatically converts estimation information into a list of project items, allowing for a clear and visual comparison of incurred final settlement costs.

 

A key pillar of the solution was ecosystem integration. A dedicated Contractor Portal was successfully developed, allowing partners to participate in bidding and estimation, which strongly supported the evaluation of contractor quality. Crucially, the system was integrated with the company’s Oracle system to synchronize payment progress information, automating a critical financial workflow and eliminating manual data entry.

The project's success was rooted in its ability to transform a fragmented, high-speed construction process into a standardized, manageable workflow.
